St. Michael Lutheran Church is seeking a highly organized Office Administrator who is adept with technology and communication platforms and excels at communication, coordination, and independent work. This role is ideal for someone who enjoys creating order, supporting others, and ensuring that the many moving parts of congregational life run smoothly. Candidates with strong administrative skills and a service‑oriented mindset will thrive in this position, which supports the full range of daily operations, communications, and logistical needs of the church.

Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)

Ability to learn and use platforms such as ICON membership database, SignUpGenius, payroll software (iSolved through Premier Payroll) and website maintenance.
Confidence navigating digital file management, online tools, livestream slide creation, and basic graphic design (e.g., Canva)
Project Coordination
Ability to plan, track, and complete recurring weekly tasks (bulletins, announcements, email newsletters)
Experience coordinating logistics, vendors, calendars, and building use requests
Comfortable producing polished print and digital materials, including flyers, brochures, door signs, and seasonal liturgy inserts
Capacity to manage multi‑step annual projects such as the Annual Report and Annual Directory

Role Expectations
Weekly & Recurring Responsibilities
Create weekly worship bulletins, announcement pages, and digital versions for online access
Prepare and schedule weekly email communications; send special emails as needed
Maintain the website with current events, dates, and information
Upload bulletins, maintain archives, and create weekly TV/livestream slides
Manage calendars, book meetings (including Zoom), and create event sign‑ups
Greet visitors and vendors; answer phones and emails; support committees as needed
Conduct twice weekly mail runs and maintain office supplies and inventory
Perform daily building walkthroughs with light tidying and issue reporting
Financial & Administrative Tasks
Process biweekly payroll and assist with onboarding paperwork
Scan and submit invoices; maintain credit card receipts and reconcile monthly statements
Maintain tax exemption documentation and certificates of insurance for contractors and outside groups
Seasonal & Annual Projects
Create special bulletins for Lent, Holy Week, Christmas, memorial services, and other occasions
Produce liturgy inserts as seasons change
Coordinate poinsettia and Easter flower orders, including forms, payments, and donor listings
Manage the Annual Report and Annual Directory with committee support
Format and print newsletters (5–6 per year)
Digital & Records Management
Maintain the ICON membership database
Ensure compliance with Synod (governing body) document‑retention guidelines
Create digital products as needed
Hours and Availability
15 hours per week required on-site
Remaining hours may be completed remotely or in the office
Emergencies could dictate weekend or evening work.
Compensation, PTO & Holidays
Annual salary $42,000–$50,000, depending on experience
15 days of paid time off (PTO) annually
10 paid holidays each year
